About the role
You will serve as the primary staff contact for an assigned portfolio of association chapters. You handle the operational engine: member records, event logistics, board communication, and financial administration. You are the person the board president calls.
This is a hands-on role. There is no support staff underneath you. You will draft the newsletter, reconcile the registration list, and do everything except manage social media.
Responsibilities
Chapter operations
- Serve as the main point of contact for assigned chapters
- Prepare board meeting agendas, packets, and minutes
- Track board action items and follow through between meetings
- Maintain chapter calendars, bylaws, and governance records
Membership
- Process new member applications, renewals, and lapsed-member outreach
- Maintain accurate member records in our platform
- Run renewal campaigns and report on retention
- Respond to member inquiries within one business day
Events
- Manage logistics for monthly programs, golf tournaments, and socials
- Coordinate venues, catering, speakers, AV, and registration
- Build and manage online registration and track attendance
- Handle sponsor fulfillment and on-site execution
Communications

- Update chapter website content
- Coordinate with our social media team on chapter content needs
Financial administration
- Process invoices, dues, and event revenue
- Submit expense documentation and support monthly financial reporting
- Track budget performance against plan and flag variances early
Requirements
Required
- 4 or more years in association management, nonprofit administration, events, or membership services
- Strong written communication — you will write on behalf of organizations, not yourself
- Comfort managing multiple clients with competing deadlines
- Working proficiency with Microsoft Office and Google Workspace
- Availability during central business hours
Preferred
- Experience supporting a volunteer board of directors
- Familiarity with an association management system such as Glue Up, YourMembership, or similar
- Event registration platform experience
How you work
- You close loops. Nothing sits in your inbox unanswered.
- You spot problems before the board does.
- You are comfortable telling a client no, professionally.
- You are organized enough that someone could pick up your files tomorrow and know exactly where things stand.
Part-Time Conference Manager
At a glance
- Type: Part-time, approximately 10–15 hours per week (up to 20–25 in the weeks before events)
- Location: Remote (U.S.)
- Schedule: Flexible; you set your own daily hours as long as email and deadlines stay current
- Travel: Required for events — up to about 31 travel days per year, concentrated August–October, with some events in back-to-back weeks
About the role
You will run a portfolio of seven to eight professional conferences held across the country each year. You own each event end to end — registration, sponsors, communications, logistics, and onsite execution — working remotely year-round with volunteer planning committees, hotels, speakers, and vendors, then traveling to each conference to make it all happen.
This is a long-term, part-time role with real ownership. Attendees, sponsors, and committees will know you by name — you are the person who keeps every event on track.
Responsibilities
- Manage conference registration from setup through close: pricing, discount codes, changes, refunds, waitlists, and attendee reporting
- Serve as the primary contact for sponsors — invoicing, logos, benefits, booth and table logistics, and follow-up
- Handle communications: daily email management, email blasts, website updates, flyers, signage, and name badges
- Coordinate with hotels and venues on room blocks, banquet orders, menus, floor plans, and AV
- Support speakers and program committees: collect presentations and bios, build agendas, manage the event app, and administer continuing-education credits
- Attend planning committee calls, maintain weekly status reports, and reconcile payments (PayPal/Stripe)
- Travel to and work each conference onsite: registration desk, sponsor and speaker support, and day-of problem solving
- Close out each event: surveys, presentation uploads, final invoicing, attendance reporting, and debriefs
Requirements
- Exceptional organization — all seven to eight conferences are in motion at once, each at a different stage
- Responsive, professional written communication; comfortable being the front line for attendees, sponsors, and committees
- Experience in event planning, conference management, association management, or a similar coordination-heavy role
- Comfortable with (or quick to learn) registration and website platforms, PayPal and Stripe, email marketing tools, event apps, Canva, and Excel/Google Sheets
- Self-directed and dependable — you will work independently with volunteer committees who count on you
- Able and willing to travel, including consecutive weeks during the fall conference season
